Purchase Orders

Purchase Orders are another subcomponent of Inventory. Purchase Orders allow users to order additional inventory and to manage the receiving of inventory once the product has been delivered to the warehouse.

POs are made up of the following sections:

Details Section:

VendorThis is the business name of the vendor. PLEASE NOTE: You must have at least one contact created for a Vendor in order to add a Vendor to a PO. To ensure you have a Vendor contact navigate to Catalog > Inventory > Vendors
WarehouseEach time you create a new PO you will need to specify what location or warehouse you are ordering product for. This is helpful especially if your business has multiple locations or if you have a central distribution center which process and breaks down larger quantity orders and ships smaller quantities to other retail locations.
Full NameThis is the full name of the contact at the Vendor.
Email AddressThis is the email address of the contact at the Vendor. This will also be the email that is used for the Vendor when you send the PO from the Lead Commerce system by using the More Menu option.
PhoneThis is the contact’s telephone number at the Vendor.
FaxThis is the contact’s Fax number.

Terms Section:

Date IssuedThis is the date on the PO that you want to display in the Date Issued field on the PDF and Summary section.
Due DateThis is the Due Date that you want to appear on the PDF and Summary section.
Order NumberThis is the Order Number that this PO was created for OR if the PO was created for Stock then the value in the field will read STOCK.
TermsThis is the default terms for this PO. This value can be selected as a Default on the Vendor drill down.
Terms & ConditionsThese are any PO terms that have been created in the Terms and Conditions section of the Settings area.
FOBThis is any Freight On Board terms that need to be defined.

Products Section:

Add DiscountThe Add Discount button allows users to add a separate line item for any Vendor related discounts for specific orders or line items. You can also discount individual line items by adding the SKU and then clicking on the line item you want to discount.
Add UpchargeThe Add Upcharge button allows users to pass in any additional fees that the Vendor might assess for your order such as Shipping Fees or special shipping arrangements like dry ice, hazmat fees, etc.
Product SearchThe Product Search button allows users to search for specific SKUs that are associated to the Vendor that was selected on the Details section of the PO. There are two sections within the Product Search
Case Pack SearchThis option will let you search for Case Packs that you have created on an SKU. For more information on Case Packs, please go to the Case Pack documentation.
ItemThis is the line item number which will increment up in single digit increments.
SKUThis is the unique SKU number. In some cases this will be created by Lead Commerce. If you are using the Custom SKU option (Enterprise Edition Only) then this will be your unique SKU ID.
ProductThis is the Product Name.
VariationThis is the variation of the product which is represented by the SKU itself (i.e. L or Red) based on your Variation values.
QuantityThis is the number of units that have been ordered for the SKU.
ReceivedThis is the number of units that have been received once the PO has been placed.
Item CostThis is the cost of the SKU on the PO.
TotalThis is the aggregate total cost of the line item.
StatusThis is the line item status of this particular SKU. The line item status can be Pending, Cancelled, Partially Received or Received.

Shipping Notes Section:

The Shipping Notes section allows users to enter in specific notes for Vendors regarding the order. These will show up on the Summary if your summary is calling in this particular tag. For more information on Tags please review the Template area. Navigate to the Settings cog wheel> Templates > System Emails.

PO Summary Section:

The Summary Section feeds from the PO template which is located at Settings (Cog Wheel)> Templates > System Emails> Purchase Orders. You can edit the Summary to your exact needs using the editor which is found by drilling into the PO template. The template itself has both an email as well as PDF version which both can be customized to include any additional system TAGS as well as custom Attribute Tags. Tags can be viewed by clicking on the TAGS section of the template drill down page.
